LOCATION: 33 Health Services Clinic CFB Kingston

HOURS OF WORK:
• Full-Time Monday to Friday
• 8.5 hour shifts – ½ hr unpaid lunch break, paid for 8 hours per day
• Some weekends may be required if necessary

RATE OF PAY: $27.83 per hour

JOB SUMMARY:
The Administration Support role is responsible for creating and maintaining trackers, creating company templates, answering queries, and delivering/retrieving documents throughout 33 Health Services. The Admin Assistant is further responsible to coordinate and prioritize tasks to meet multiple concurrent demands, under the direction and guidance of the Clinic Warrant Officer and Clinic Support Services Manager.
Administration Support is to keep informed of relevant sections of applicable acts, policies, regulations, directives and procedures as well as current practices to instruct staff of various requirements and procedures when responding to questions or resolving routine problems.

REQUIRED SKILLS:
• Bilingual is an asset
• must have excellent interpersonal and written communication skills,
• must be able to communicate in a calm and confident manner regardless of circumstances,
• must be able to interact with people in a concise and professional manner,
• must be able to maintain Commissionaires and client confidentiality,
• must be able to utilize any proprietary programs in use by/for the designated site/client,
• must be physically able to conduct vehicle or foot patrols at site buildings and locations,
• must be able to work independently or as part of a team,
• Must be able to respond to inquiries in accordance with established policies and procedures.
• should possess excellent computer skills, including experience with specialized secure networks and all Microsoft products i.e., Word, Excel, Access, and Outlook, and Microsoft SharePoint and Teams.
• should possess experience with online scheduling apps.
• Must be able to learn and maintain proficiency on the following programs:
o Monitor Mass Production
o EMMA (Employee Member Access Application
o CFTPO Production ( Canadian ForcesTaskings Plan andOperation)
o OpSoft
o MCRP (Maintenance of Clinical Readiness Program
o PaCE (Performance and competency Evaluation)

REQUIRED SECURITY CLEARANCE:
Reliability (requires 5 years minimum Canadian residency)

RESPONSIBILITIES:
• represent the Commissionaires and the client professionally at all times including personal conduct, dress, and appearance,
• read, remain current with, and follow all Commissionaires policies, Terms & Conditions of Employment
• read, remain current with, maintain, and follow all client & site SOPs/post instructions,
• Monitoring and custodial duties of information and assets.
• Clerical and administrative duties related to the performance of security services.
• Conduct general administration and office services,
• Receive, track and re-direct correspondence to appropriate recipients.
• Generation of reports and returns.
• Liaison with CFB Kingston units and other units outside the area when required.
• Coordinate PaCE review and minor changes as required for personnel evaluations.
• Entrust – PKI encryption up to PROTECTED B file transmittal, storage and editing.
• Arrange and attend meetings (in-person and Teams) as required by the Support Service Manager or Clinic Warrant Officer.
• Maintains files, records, databases, control/tracking and other reference systems.
• Arrange claims preparations.
• Arrange travel bookings.
• Relief of Access Control Reception Desk Guard
• maintain a daily personal notebook,
• record, advise/report on any unusual site activity to the appropriate supervisor/client including any actions/remedies and/or official reporting undertaken, as required,
• generate appropriate security and incident reports, as required,
• maintain a dialogue with the Site/District Supervisor and the client at all times, and
• perform any other required security related duties, as detailed by the Site Supervisor/District Manager and/or as reasonably requested by the client.

CLIENT REQUIREMENTS
To be eligible for consideration for this position, you must have the following qualifications:
• Reliability Clearence (requires 5 years minimum Canadian residency)
• Valid Ontario Security License
• Valid Emergency CPR First Aid with AED
