SUMMARY

The position is responsible for data input, management of software, and scheduling in our InTime system. This involves ensuring shift coverage for contracts as per the direction of the Director of Operations and the client’s needs. The position will train mobile supervisors and site supervisors, to be functional with the scheduling software at sites determined by the Director of Operations. The position will be the subject matter expert, through continuous learning and development, and will advise senior management on potential operational and administrative process implementation opportunities when appropriate.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Maintain up to date required data in the scheduling software.

Create and enter schedules to fulfil client contracts ensuring proper coverage of all shifts.

Train the Mobile and Site Supervisors on the use of the scheduling aspect of the software and review their work from and administrative perspective.

Support Human Resources with InTime training during onboarding of new employees. 

Enter all vacation and leave requests that have been approved by the Supervisors and/or Operation’s Manager and ensure backfills are booked.

React to all sick calls and no shows to ensure shift coverage is in place during shift.

Notify appropriate Supervisor and/or Manager when there is a vacancy or scheduling problem at a specific site.

At the direction of the Operation’s Manager and in collaboration with the training manager, schedule site training with employees.

Respond to calls and questions from our employees regarding schedules and InTime mobile/web application issues.

Assist Finance with monthly payroll and adjustments as required.

Ensure that all schedules are produced and issued, at minimum, 14 days in advance of the effective date as per legislation.

Contact employees and supervisors via email when changes are made to their schedule. If necessary, follow up with a phone call to the employee.

Produce reports as requested by the CEO and Senior Leadership Team through InTime to assist in identifying efficiencies.

Monitor developing inefficiencies in scheduling and create solutions and processes for managerial approval.

Contribute to developing best practices for software use and internal processes which require information from or to the scheduling software.

Weekly software scheduling of patrols and alarm responses, provide regular reporting to management.

Adjust schedules in real time, check reports, and handle holiday patrols.

This position may require travel to provide training to our various sites.
